Information we receive

Depending on the service you request, information may include your name and contact details; tax and income records; identifying information; family, beneficiary, and estate information; insurance-related information; communications; and billing records. We receive information from you, your authorized representative, and providers or public sources when appropriate for the work. Provide sensitive records only through the secure process identified for your engagement.

How we use information

We use information to respond to requests, establish and deliver the agreed service, communicate with you, maintain records, administer billing, protect information and systems, and meet applicable legal and professional obligations. The information needed depends on the service. An initial website inquiry should contain only a short, non-sensitive question.

When information may be shared

Information may be provided to service providers supporting the agreed work, such as tax software, filing, document-platform, communications, and recordkeeping providers; professionals or other recipients you authorize; and authorities or other parties where disclosure is required or permitted by law. Sharing is limited to an appropriate purpose and subject to applicable restrictions and required consent.

Our policy is not to sell or rent client information or share it with unrelated companies for their independent marketing. If a proposed use or disclosure requires your consent or an opportunity to limit sharing, we will provide the required notice and choice before proceeding.

Taxpayer information

Tax return information has additional protections under Internal Revenue Code Section 7216 and related rules. We use or disclose it for return preparation, where a legal exception permits, or with the specific consent required for the proposed use or disclosure. This website notice, a general engagement agreement, or permission to contact you does not replace a required tax-information consent. Tax information is not automatically available for insurance, advisory, or other non-tax marketing.

Insurance information and estate information

Insurance information, including application or health details, belongs in the licensed professional’s or carrier’s designated workflow. Estate information and documents belong in the workspace identified for your engagement, such as Vanilla. Insurers, platforms, and separately retained legal professionals have their own information-handling obligations. SFF’s estate organization services do not provide legal advice.

Separate firms and programs

SFF and Kairos RIA, LLC are separate firms. Common ownership or personnel does not itself authorize sharing your information or enrolling you in another service. Any sharing must have an appropriate purpose, authority, and required direction or consent. Fi Foundation participants, donors, students, and program records are not automatically SFF client records.

This website and external links

The Start Here tool prepares a message in your browser. It does not automatically send your selections or written question to SFF, and changing the selected service clears the written question. If you choose to open and send the email, your email provider and SFF process that communication.

Website hosting and security providers may process technical information such as IP address, browser information, request times, and cookies to deliver and protect the website. Linked provider homepages operate under their own terms and privacy notices. Opening a provider page does not create an engagement or identify the secure folder for your records.

Safeguards and retention

Our information-handling policy is to limit access to personnel and service providers with a permitted business need and to use appropriate administrative, technical, and physical safeguards. No website or transmission method can guarantee complete security. Do not email passwords, Social Security numbers, tax documents, health information, or other confidential records. Contact SFF for the appropriate secure process.

Records are retained as needed for the agreed services, applicable legal or professional requirements, and legitimate recordkeeping or dispute-resolution needs. Retention depends on the type of record and any legal hold. These privacy protections also apply to former clients.

Your questions and choices

Contact SFF to ask about this notice, request correction of information, discuss a permitted access or deletion request, or ask to stop optional marketing communications. We may need to verify your identity securely before acting. Legal recordkeeping duties or other applicable requirements may limit a request; declining optional communications does not stop necessary service messages. Do not include confidential records in your initial request.

Updates

We may revise this notice as our services, practices, providers, or legal obligations change. The revision date identifies the version posted here. We will provide additional notices or obtain consent when applicable requirements call for them.
